- 0:38okay I make a motion to accept the agenda as presented second all in favor there's no student for today oh there we go okay right on time welcome it's on you now you're okay um so well good to see you all um I'll start off with some things that the student council is doing.
- 1:19um next week we'll have our winter themed uh Spirit Week um and also in the coming uh weeks we'll be having a cookie decorating party um which students can sign up for um we're doing 20 slots per grade for students um and then we also have our annual alumni panel uh where students who graduated last year will come back and talk about their first year at College to the student council members and also the seniors they also have to sign up to do that.
- 1:57um some other clubs that have some things going on today far City Club had their blood drive um where students went and donated blood. um mock trial just got their case from the New York State Bar Association um if anyone's Curious by the way you can go on the New York State Bar Association and read it it's very lengthy about 192 pages but um it's it's fun and that's what we'll be working out for the for the rest of the year.
- 2:23um on well yesterday model un had a mini model un um within the school um it was on uh North Korea and uh nuclear bombs so was a lot of fun I wasn't there.
- 2:43um environmental Club has been invited to attend a citizen climate Lobby um some of their meetings um they're a nonpartisan group that's looking to gain some youth Advocates which is kind of great um if you missed it yesterday uh boys uh basketball won the Battle of the bridge again Keith Robinson broke Hudson high scoring record um yeah so basketball is starting and I think on the 16th is boys varsity's first game Sorry boys varsity's volleyball their first game um yeah I don't have any information on bowling but sorry.
- 3:31um the on at Winter Walk The Hudson bands performed um at Hudson Hall upstairs on the stage had a great time played a lot of songs we had like an hour um to play um and for the musical the cast list is set um I don't know when rehearsals start they started this week they started this week great okay awesome um so yeah I play in the pit band so I don't get my stuff until much later thank you that's all thank you very much.
- 4:25okay Thomas is going to do a Clark Kent moment and come back saxophone and play some songs with the woodwin quartet ni they're not here now okay so the order yeah we'll switch Dr press on you all right disclaimer I'm a very very very excited person right now.
- 5:01a few of the students and staff and families came when they heard about this board meeting presentation and I really appreciate you for coming and I will be acknowleding our sta out the presentation I'm going to talk about some of the initiatives that I am responsible for and I give support to these various initiatives this is only part one I do a lot in the district and I'm very proud of the work.
- 5:35here's our table of contents we're going to talk about the Dei Mission Six keys to school Improvement we always have to follow those keys so they lead everything we discuss in the district because what we do has to align with those keys Dei initiatives Dei Community team quick overview you uh we're going to look at the process strategic PD plans and Dei performance Service uh survey data name recordings and a look ahead grants.
- 6:09here are the grants I'm responsible for 21st century after school program we have a collaboration with mental health at Columbia green and the director of that wonderful program is here with us tonight and that is our roxan Carpenter so thank you for coming.
- 6:35um learning enrichment after school program supports leaps we collaborated together with Joanne Ally and one other person Pat bian and it was like a last minute thing because we just found out about it we spent 21 hours together in several locations and then on our own to fill out the application and we were told we wouldn't know until June 13 but we found out sooner that we were awarded $1.1 million $550,000 for the elementary school and 550,000 for the junior high school for five years that's 5.5 million do for our after school program program so I'm excited because that was a true labor of love.
- 7:31now I'm also going to talk about the My Brothers Keeper fellows and the My Brothers Keeper family and Community engagement and stronger connections I'll end up with Panorama school Improvement survey data and a quick video Let's Roll.
- 7:49so diversity equity and inclusion we have a mission statement our mission statement aligns with the mission of our district as well as the New York State education Department's Dei Mission take a second and read it that's how we're going to get there through Dei the vision is where we're going the mission is how we're going to get there.
- 8:23six keys for school Improvement we leave off with these all the time strengthen the instructional core improve datadriven practices promote a positive inclusive School environment for all stakeholders strengthen instructional leadership capacity tiered approach to school support and intervention and increase mon not monitoring and accountability so you can tell I'm excited but we're going to hit this hard because I'm a very data driven leader everything that I do I let the data talk to me and tell me what I need to do to support so you're going to see data throughout my presentation.
- 9:04diversity equity and inclusion initiatives so the original Dei team is right here from the Dei Community team that I developed during last school year we had 12 staff from different departments and four administrators right now three of the staff had to leave because of other priorities so we still have nine and now we have an additional administrator so we have five administrators we also have eight Community Partners.
- 9:43so let's look at this really quickly in order to establish a Dei Community team it takes 3 to 10 years why such a gap because it really depends on a lot of factors you have to be able to bring people together with a common purpose to serve all students and it takes time we have an incredibly diverse District which is amazing and we are very fortunate because our team is really
- 10:20really really driven by the love for children and the passion to educate children so we may not have to take a 10 years because we're making progress little by little but it does take 3 to 10 years. Again when you're talking about doing this work there's a lot of PD involved it should be job embedded so that it's meaningful and also we have to make sure that we're looking at those six keys while we're doing this great work. That last one is important we take the time we're patient we respect each other and we are motivated by our love for our students.
- 11:11So you already saw the PD plans from the first year I just put them up as a quick reminder they are on the website did a lot of PD we started with the school building and School District administrators and then that second half of the year we started to look at the nicet training we had a book study that we started but we're continuing it this year. Now part of what I did in that first year is I collected data after I conducted a Dei training so I'm going to go over some of the results with you really quickly and then you will see why this work is important to our district.
- 11:59And I have to shout her out Teresa thank you for compiling the data because Teresa did this for me after I started and I had the PD she compiled the data from me yes I do shout people out so if you get embarrassed easy get over it it takes all of us to help our children. So the Blue Area strongly agree red agree look at these that all of this is agreement very few areas don't agree with this work the objectives preparation materials content topics it was just so incredible when I got the data back that said to me that our staff our teachers want to know more about Dei in this District according to the data that was collected and there were responses to that part.
- 13:02Then on this section I talked about culturally responsive education so the culturally responsive sustaining framework 71 responses again strongly agree and agree neutral is orange but look at all those strongly agrees and agrees you're looking at no less than 85% to almost 98%. So that told me that I need to do more training and I promised the teachers that that would happen in this school year because I had to make sure that all of the school building and School District leaders were trained first in order for any initiative to really take a rout that means that the administrative staff have to first embrace for themselves and then they reinforce it with their staff. So I had to spend that time and we had tons of training last school year.
- 14:09So again more data and you also know about the recording of the names probably at nause but we're the first district in New York state that I know of that took a stand we heard the voices of our children. We had meetings and people shared at meetings that some of the students complained because they were tired of their names being mispronounced they did not feel that they belonged they felt alienated they complained to parents they complained to some of the teachers.
- 14:47So our district decided we're going to record every student's name from kindergarten through 12th grade and students who are enrolled in the future were going to record their names why because your name is important it's your identity part of it. Before you know anything before you know anything about a person what do you learn first their name and if you don't pronounce the names correctly people feel uncomfortable so it's very important.
- 15:22Now we saw these videos so I'm not going to show them again you can see them on the website but it was just a quick overview and just wanted you to know the New York State education department commissioner's office I sent them a little blur and they are excited they sent me an email and I was asked to create an article that will go into their newsletter so when that comes out I'll let you all know so you can see our our district doing something amaz to create welcoming and affirming environments for every child starting with the correct pronunciation of their names.
- 16:08So now what are we doing this year I'm glad you asked starting with those six keys and we're doing the book review I'm going to have the Nic New York State United teachers do an implicit biage training they've already trained our buildings and ground staff and our educational AIDS during the Super conference day and then we're going to look a little more closely at the culturally responsive framework looking at pedagogical practices and that's where Dr KT and I will be doing a lot of collaborating because she's our executive director of teaching and learning for the district.
- 16:46Also we'll have more surveys this year we're going to do it a little bit differently and I'll talk to you about one of the barriers that we when we look at the survey data so stick a pen there we're going to come back to it. Data reviews and decision making everyone should be using data data tells us a lot not just academic data not just social emotional learning data but is your process working is it effective. Code of conduct we're almost there it's going to be amazing we're going to have more restorative practices language and it'll be different but I do believe that everyone will appreciate the time energy and effort of everyone who poured into this labor of love for our kids.
- 17:43What is one of our major goals this school year record all staff's names staff really expressed their appreciation for students names being recorded and some of the staff asked Can you for us I said absolutely so that'll be a first this year too our district is rocking and rolling.
- 18:06So one of the things I talked about was the book study and there is something called the ready for River framework the reason why this framework is really important is because it really helps set the stage for teaching using a culturally responsive lens. Four areas awareness information processing learning Partnerships and community of Learners so when you're thinking about awareness you're aware of your own culture and the cultures around you so you're becoming culturally responsive you're becoming emotionally intelligent. When you're looking at information processing all children need to be challenged all children need to learn higher order thinking skills it is very important the growth and development.
- 18:59Learning Partnerships form Partnerships with each other and with the kids it's really building that Community a sense of community belonging like a
- 19:14family learning Partnerships we talked about that and then community of Learners students need like you you have a voice you have a voice at every board meeting it's so wonderful to see you it's so wonderful to have a student represent the other students it's amazing and that is part of our community of Learners and learning environment what is culture relative to the brain your brain is the hard drive culture is the software that goes into the hard drive what does that what does that mean the software is all the stuff you learn your whole life download right into your Hardware good bad happy or sad.
- 20:03Now when we look at our children the reason why we're doing this brain based learning is because it's important to know how the brain works so you know how to teach children effectively what's great about our district is everyone's opening up to learning new things so we're going to explore the brain a lot we've got three areas the brain stem the lmic system for the limic stem and the prefrontal loes when you're looking at the brain stem the question that a child is going to ask is am I safe because that's fight or flight that's the fight ORF flight area of your brain when you look at that lyic system that's your emotions do they love me do they like me do I matter to them and the area of the brain that is a prefrontal load that executive State language on this side a m of sensory area I'm a speeching language pathologist I'm not going to go there but what I am saying is language processing and learning new material is very important on this side and basically the question is going to be well is this relevant to me should I learn this.
- 21:22Again there's a little more about it so I did was I plan for the year the Dei Community team it I made the plan for the year so every month they know exactly what chapter they know exactly what areas we're going to highlight and then I also akin to that made for the year list of topics that they will present at each faculty meeting about five or 10 minutes we're in it to win.
- 21:54Let's go to My Brother's Keeper all of my brother young men in the house stand up oh wow what a pleasure what a pleasure to see you they heard that Dr prey was going to present they wanted to be here and I say thank you I have a lot of great things to say about these young men we have our 21st century Community Learners if you're here from the 21st century stand up after school program all right so right now while you're standing you can give your names because there stars on a video one at a time my name okay so we're sorry about that we're going to go 21st century after school program My Brother's Keeper leaps and stronger connections now leaps in 21st century are pretty much together My Brother's Keeper fep is family and Community engagement and fellows stand up again MBK I need you to share your names quickly.
- 23:19All right starting over here Rafael Rivera malson Mal Robinson Malik Roba Robinson all right thank you I didn't forget about so where is she she's over there so Joan and I have a great partnership we presented at the 21st century Community Learning Centers convention let she's adorable she's nervous I'll have her get up in a minute don't worri I don't want her to you okay.
- 23:59So I just want you to take a look at this look at all those precious children she knows every child by name she's heavily involved in this work I could not do it without her we are Partners in this wait till you see all this good stuff we have 245 students who are registered for our program that is really incredible out of 4 we' got 130 at the elementary school and a waiting list you go Jo 35 at the junior high and 80 at the riding Center she's not here but I'm going to shout out GA wheeler she's doing an awesome job our goal is to take the students on an IV League College Tour one of the students wants Harvard we're going to make it happen.
- 24:56So students designed backpacks during their summer they went to the aquarium this is where we're spending the dollars to make sure our kids have learning enrichment activities they went to the Bronx Zoo they went to the New York State Museum many of them for the first time rode the train you see that precious little lady holding on and then they also went to see Allison Wonderland with the Columbia County Youth Theater they're having fun they have their fun days with um cotton candy and ice cream thank you to steart shops for being a partner with us they had wacky water Fridays and they made s'mores in the sun they had daily science experiments.
- 25:48Our superintendent I have to shout her out when she came to the district one of the goals was to ensure that we had St she wanted to make sure we had a good solid stem program or we're offering stem activities to our students we made that happen during the after school program every day thank you Dr we love to read now listen to this I'm G to shout out the teachers right now because we're thankful that the students went home with four to seven books from The Faculty at our schools thank you teachers for promoting literacy over the summer that's very important thank you teachers also the kids went to the Carousel it was built in 194 and they had an opportunity to go there and they had a ball.
- 26:48Let's take a day to walk 11 out of 89 students took a survey The Sur survey was given to them through our partner our consultant Brockport Research Institute known as G now obviously I had to make it put it on a slide but do you see how we made sure to differentiate the survey so that all students could access it this is for our elementary school all right what you see here is they really like the after school program they participate in one or more subjects kind of no but 100% of those people responded right who responded what's the problem with 11 out of 89 this is what we learned about data when you're collecting data you have to make sure people can access it the link went to the families from the consultant so we talked about it Joanne said we were thought partners and she said well we need to schedule a time to have students do it on site because once they're at home with
- 28:15Their parents listen parents are busy they have other children some of them are working they have a lot of responsibilities they may not have time to get back to that survey whereas while the students are sitting there at the after school program be a lot for them to take the survey.
- 28:28So here are the two goals that we have to work on number one we need to increase academic confidence of the students by 75% the second thing we need to do is we need to increase positive behaviors by 75%.
- 28:54I wanted to show you some of the amazing activities we are able to offer using 21st century dollars as well as leaps dollars these are the calendars we're not going to go every single one take a look at some of the things that the kids are able to do and I mean this is what we're offering this was Session One.
- 29:20Let's take a look at session two these are the elementary school students we have two sessions 35 to 45 to 515. I'm very proud of this because our dollars are coming from Grants and these grants allow us to have staff to provide our students with opportunities and access.
- 29:47By the way tap dance is starting in January we're going to have kids are going to be able to do nails hair absolutely that's what they want it we're bringing it to them they deserve it.
- 30:03This is for our older students Junior and Senior High I want you to take a look we got dance fashion game time we have two things that we're added there's a NASA challenge I just met with three of the astronauts yesterday.
- 30:22Our students are going to be our our junior high students grade in the after school program hello if your child is not in the junior high after school program run not walk and register them because they're going to have a ball with the astronauts.
- 30:40So it's a design thinking challenge I'm going to talk a little bit about that and then the game rooms we're creating two game rooms one at the junior high one at the senior high these are students who stay until about CL many of them are athletes we don't want students going around the building without supervision.
- 31:03We're creating a safe space for our students to be able to interact with each other the rooms will be staffed with adults they have to sign in we will keep track of the attendance when it is time to go to sports their coach will meet them and they will go and practice the rest of them they will go home.
- 31:21We are working on ensuring that they have a meal while they're there it's a long day we have to take care of them.
- 31:28Let's take a look NASA challenge 2025 I am py they're going to have three activities main activities build launch recover they're going to take on the role of scientists and they have a problem to solve together that's going to be incredible they will be virtually interacting with the astronauts.
- 31:52What's the limit could be as low as one or two children but I want 30 children I want 50 children have your children participate this is amazing our district was chosen there only 10 districts in New York state were chosen for this opportunity.
- 32:1010 we're in there with Manhattan District 5 and if you know anything about some of those schools in Manhattan we're in there because Hudson matters too and our children can do just as great a job as any other District.
- 32:28I will make it happen lunar water engineering design challenge they're going to develop a filter that purifies water can you imagine what that could lead to it's very important to expose our children.
- 32:43And then Astros Sox engineering design challenge this is a biggie because you've got to use coding you know our kids know more about coding than we do but they're going to use coding they're going to protective Footwear for the astronauts to wear outter space.
- 33:03Somewhere and they have on the socks that our kids created are you kidding me I'm going to be beside myself when I hear that.
- 33:10All right so I told you about Brockport Research Institute guess what this is an incredible partnership I'm going to tell you why we have them for 20 years our secured about $840,000 in grant money through 21st century.
- 33:34Last year that left when I started they dropped it all the way down when I started I heard there was this round eight and they dropped it to 179 766 I said so I called the state they said that a lot of information was just recycled it wasn't new said oh my God I begged them I said wait a minute now I'm new here you've got to give the kids the money like back give it back like.
- 34:06We have this consultant they come in twice a year from 2:30 to 6 p.m there are two people at the elementary school two at the junior high and they go to the high school and they go through everything involving this this this whole 21 after school program are we meeting our goals.
- 34:31They talk to the children they talk to the staff they talk to parents they're all in and what they do is they generate a report and I wanted to highlight some things when they came on the 18th we walked around with them they saw all these great things happening it wasn't a dog and pony show this is what we do this is our passion you're talking who are engaged.
- 34:57Look at this program successes there's so many to list I only grab a couple successful communication with families that's important having that connection with the families positive behavior and classroom management seal procedures being used children learning various topics.
- 35:24They also have a partner we also have a partnership with Cornell extension program and americore so I'm telling you that made me happy you know what this data does year over year it shows the progress it shows what we're offering our students it shows how well our students are engaged with the activities.
- 35:49And then when they collect the data through the survey all of those things year over we go back and apply for that Grant we will get it I said this time I told the lady on the phone I'm going Beyond 840,000 I want over a million dollars for our kids next time.
- 36:11Now this is for the older grades there were no program struggles there was a concern about a trip to a college or university one of the students at har I would like to go to Harvard her classmate said yeah I want to go to Harvard I said and Harvard I like some of our students talking about
- 36:45what after school means to them I like and our four stars over there excellent well you you express how you felt we appreciate it so let's look ahead this is the goal as you know students need support families need support so thank God we're in a collaboration to establish a mental health clinic on site in the district office Mrs Carpenter is in the process ofing certified able to do it and person will offer counsel 5 to 8 atast Days 9es insurance come and receive the support you need so when we we're going to make a big announcement through our superintendent I'm very happy about this because the data we need more for our community our SCH my brother's this is the vision and mission of My Brother's Keeper dar thank you he and the team wrote this based upon again we have six keys and we're looking at the importance of community all nbk members and their families will achieve their goals together in partnership with the school and community that partnership is so important while graduating high school being life ready and prepared for Success Mission ensure all MDK members can reach their potential regardless of who they are where they come from or the circumstances in which they were born.
- 40:06so you can look at some of those things those are highlights that we had from last year and then I'm going to talk about this year and then moving forward so these are two of our students we mentioned them before but for some of you no idea that's why I put it up there we have an amazing group of students who are part of this ban virgess Bailey and Rocky Payne Rocky Payne was their Mentor what an amazing partnership again it takes a lot of partnershi to really really support our kids and I tell you we had a great time he mentored them these two young men graduated from high school bisham is with the National Guard thean is with Sunni Morrison and he's playing soccer just like did both well when bam comes back he's going to Columbia green and he wants to serve Janine PCO and John Brisco they were right there to support our fellows I appreciate them so much again it takes a village we have to do this work together so they graduated here's a picture with Dr Penny Heria and then we have our two new students Jared alert and Anthony Mitchell and their Mentor ISD.
- 42:13all right so what's what does it look like for our students who are fellows we're talking about the nbk fellows we'll be finishing up pretty soon they're reading four books each year they must read or books so they're reading MAD truth lasting lessons for students of life as Morel Santiago when I was Puerto Rican you you and Rich Dad Poor Dad y in the middle you'll see why they're reading those books very important we want to teach our students to have a sense of selfefficacy to believe in themselves to know that they are special to know that they have something great to offer the world a sense of responsibility and accountability and reliability and then what they will participate in are two major events it's called one is called standing Deliverance at the Empire Center in Albany the other is the Symposium where there over 1,000 attendees last year danan Bailey was a on a panel he was on stage in front of a thousand people with the author Reverend Alonso white who wrote the book mad truth he was poised and he spoke well he represented our district very well.
- 43:47now let's talk about the family and Community engag excuse me because I have one of my parents here and I'm excited so students engaged in a lot of community service I didn't put everything in because it would be ongoing in yeah trips workshops I want you to know all of the dollars all of the time spent was spent well our students were unloaded truck so that they could set up a food pantry at Solid Rock Church they wash the fire trucks in Greenport I saw the um Chiefs they did a good job on the Chiefs SUV I was like they can wash my car they I mean it was it was as shiny as a a new penny so yeah they did they served they cooked they made popcorn they served IAS and they were in the community it was a wonderful thing also they took some wonderful trips they went to Sunni kobal skill they went to Lake George they went to Six Flags and they went to how C I had so much fun I just I love children everyone knows that if you're around me you already I will celebrate them I don't care they deserve to be celebrated all children they went to zoom Flo.
- 45:34here's the big trip Washington DC we went to Washington DC they went to the national museum of africanamerican history and culture what an incredible experience here they are with Michael Jordan's like St they walked the Howard University campus took them on a tour we walked into classrooms and it was just incredible they were able to interact with other college students freshmen they were able to ask them questions about college at first they were nervous so it was just it was an amazing experience for the students and you were there thank you and all the parents who were right there on that bus and you hung in there we did a whole lot of walk and we walked that campus everyone's legs were tired but I wanted them to experience what it was like to be on a college campus.
- 46:35here are our workshops that we provided to the families thank you so much for coming I know he has a game um the reason why we had these workshops is because in the original proposal there were subject matters that needed to be addressed so one of those areas was greater promise sharing resources for families impacted by incarceration impacted by hard times and adula Lopez did a fantastic job we also had Darren Collins he talked to the families about why attendance matters we also had Larry Walker he talked about resume writing his presentation was really good he gave like a resume that had a lot of errors in it he showed them one that didn't have errors one that did and had the students circle all the errors he went over that with them and then he gave them an assignment to write their own that was really good we also had two other ones Tracy Johnson presented on literacy is power and she did a whole Community circle thing she had the kids up moving oh it was incredible you talk about engaged they were engaged Keana Bennett
- 48:09communication with teens using a restorative lens teaching parents how to use restorative practices when relating to their children at home just another way to help build relationships and then we're going to get some feedback from nbk ch okay basically he was saying it helped him to become a better person he's learning how to become a man how to interact with people better how to make better choices is basically what he's saying being part of this program and then we saw Loretta earlier your name all right so um some part of ndk how has that helped him out well nice so this went to VC trip how was that [Music] is this something that you would do again
- 50:42all right so I'm going to move it along stronger connection so I'm over that Grant too and let me tell you we got some great things going this is our Friday no Saturday our flying class classroom Saturday stem program now we still have space so please feel free to enroll your student and this is for grade 6 through 12 here is just a piece of what we're doing [Music]
- 51:42so you know about the hydroponic aquaponic sorry systems they also made a really neat Contra to move the from flower to flower so they had to make a Contraption like they were a honeybee or they were making a honeybee and how it could move the pollen this has been riveting students are enjoying themselves we want more students to participate and please do sign them up they're going to have a good time we provide lunch for them and we have amazing staff Angela Spanos Karina Pullin who put that video together for us Christine flood we have Stephen marwitz we have Loretta Robinson and Barbara what an Inc group of people who come to our students have this incredible experience on Saturdays and their select Saturdays throughout the school
- 52:58and by the way all of these are based on nextg standards stronger connections so as you know we have cartw tell Health you're saying why why is she providing all these Mental Health Services because the data let me know that it's needed and in collaboration with our superintendent our executive team and many of the staff we heard needs are we have an incredible mental health Team here but they can't address everything their schedules are full what's great is we're able to offer additional supports so we have cartwheel tella Health Services their virtual services offered after school and on weekends not during the school day because the children should be in classroom learning also they had mental health providers on site
- 53:53so far we have 27 referrals 26 when I did this but we had one more student added so high school we've got about 42% referral rate 35ish per at the elementary school junior high 23% look at the areas look at the top reasons for these referrals so we've got our mental health Team we've got tah health services and they are Ed law to compliant and we've also got our mental health clinic that we're starting we're doing everything we can to support our students and families but those are the concerns that are coming before us
- 54:45all right now we're going to go to the sensoring rooms some of our students when they're disregulated they place to go where they can regulate and go back to class so we got together Dr Penman the executive team Kim car worked with a vendor and we got such great materials at great prices to ensure our students had place to come where they just literally regulate themselves and then go back to class they have to sign in we're going to the data how long they're in there and then we of course have an adult staff the rooms
- 55:32here they are this is what we'll have at the elementary school Furnishings are still coming in junior high school Furnishings are still coming in high school Furnishings are still coming in but they're actually they were able to unpack and set a lot of
- 55:57is that a place for kids to just go if they don't want to go to class
- 56:00no it's not going to be hi out or hang out dis regulated student will be able to go and regulate and go back to class data and then we're going to finish up Panorama survey data
- 56:17all right let's take a look we're going to do a quick summary in June we sent out a link to the students I'm going to give you the disclaimer many of the students did not complete the survey because at the same time there was a fishing scam going on and they were told don't click you know about it so students were coming up to me they were like this legit I'm like yeah it's legit survey so we're gonna you know next year we're going to set aside a time during the day thank you Dr KT for that uh suggestion thought part and she suggested that we're going to work with the administrative team'll pick a time during the day KS compl surveys onite
- 57:05let's take a look supportive relationships I'm not going to go over all of them just some of the Salient ones 86% of our students in grades three through five said yep the adults of my life the teachers and my friends are supportive of me regulation 47% that's why we need sensory rooms that's why we need to make sure we we have mental health supports for our kids we're looking at this data challenging feelings here we go 51% of our students are having challenging feelings that's why it's important to use data to inform what you need for students whatever the supports are and we come together a team it's not a oneman show it's a team approach we had 48 responses let's look at
- 58:06all right so grade 6 through 12 79% of our 6 through 12 students grade 6 through 12 they said that the relationships with the adults the students and the teachers look at the challenging feelings 42% emotional regulation 36% now you see why it's really important that we give students supports selfefficacy about math Anda the good thing is what you're going to learn about are all the great things that we're putting in as a m of our team presents they will share updates with you so you can see and how their meeting those needs we follow the data because the data tells us what our kids need
- 59:14teachers our teachers we had 141 responses so teachers were really they were ready to answer that survey staff relationships 58 School climate 41% teaching efficacy 71% educating all students faculty perceptions of their Readiness to fully support all Learners so 76% of our teaching staff say yeah I feel like I'm ready to support
- 59:49allers feedback and coaching perceptions of the amount of quality of feedback faculty and staff rece. That's a low number however there are many things that have been put into place Dr Court Torres has put many things in place to support the teachers so we know that some of those lower numbers from June are going up. I think they've already gone up because we're getting positive feedback about those plcs that she'll talk about at another time. So let's look at staff, this is what the staff said, School leadership 58% that number I'm sure is going up because they're starting to see some great things happening.
- 1:00:41School climate resources again we allow the data to speak to us so that we could get the resources and things needed to support our teachers as well not just the students but our teachers well so you should be seeing lots of great things.
- 1:01:02Families, let's look at the families 78 families responded. Now take a look at barriers to engagement, this is a key one thank you all for coming factors that create challenges for families to interact with or become involved with their child's School. Survey takers into the question how big of a problem are the following issues for becoming involved with your child's current School. 67% of the said barers know students names a lot of finding out about programs we're putting in place.
- 1:01:56This data was collected we've seen some posi changes. I will be sending out another surve. I guarantee you to see some numers but I just we're transparent our leadership is transparent you need to know where we were and then you want to see where we're going okay. This was june24 so we're going to end with this final thing please pay attention this is in my heart as long as I have been working and serving in leadership I've shown this video.

- 1:05:42So that's the power of pulling together we need to pull our resources and pull together together we can and a big thank you to all those people on this list who help make this all possible starting with super intendent. - 1:06:11You had a question I want to address from one of the board meetings you wanted to know about the actor school program and you made a comment that if a student acts out do they home for the day and the answer to that is no. If a student is being violent meaning they're fighting or they're destroying property they will be removed. So what I shared with Joanne was what you said she shared with me that there are many many interventions before a child is actually removed from the group they speak with the child they me with and so it's not a one and done.
- 1:06:56And you know what I did when you mentioned that I went over the whole thing and we're collaborating to make the language more restorative maybe another parent thought the same as you and didn't share it so I feel like that data meant something to me. So what I'm going to do is make sure that there are levels meaning behaviors and intervention IES to support the students so that it is clearer. So I want to thank you for that. - 1:07:36Yes well first I'd like to ask well I'd like to comment on the fact that um in the high school we have a lot of clubs and I talk about the clubs and what they're doing a lot but I mean with the board um I appreciate a presentation on each of the clubs. I mean we are competitive clubs and we compete on a state and Regional level.
- 1:07:56I sent I sent you an email about that we want to get you guys in here to do more of that stuff so let's connect about that for sure.
- 1:08:01So that was the first thing yeah. Um and the second thing I had a question about the wait list for the um Elementary School uh after school program yeah. I was wondering how that kind of works how students get off the wait list and if it's like a capacity issue or?
- 1:08:16It is a capacity issue as as en continu not coming weeks at a time or for just no reason I'll don't Rems you know reles because cins are there they just Haven told only REM know things happen especially now in the spring we'll lose a lot of a lot of En C ened students September because AUST when our reg forms get nailed outes we've exed our that helpes can the en and that's our goal our goal is just a lot of Dron aot of valley aot.
- 1:11:00Is enrollment based off of need or or is it simply first come first serve?
- 1:11:03It's first first serve session we did every session session everys reg forms when they they and that's not good for in SE January coule you're September Jun and summer as I get the staff work we open up February tues Andes will be and that's open not just to current en that's open to the whole scho. - 1:14:25Also want to mention uh last year Thomas got 100 on his level six All State uh nisma solo which earned him an alternate spot in the the conference all state conference. All state has what eight out those saxophones so that puts them up in like the top like like one two% of saxophone players in the state. He did he did also attend uh the Zone 10 all state conference a few weeks ago Zone 10 is basically U like just north of Westchester to uh Columbia County so basically us. So a first outdo in that so you know in our general area of the state again just one of the most accomplished Al of saxophone players there are in high school so you.

- 1:18:56if you do have any questions thank you I was a quick one how many kids currently do go fourth through 12 like how many stay through that hole that is a complicated answer okay so right now so in our band we have uh in the high school about 75 participating in band but when you ask that question the reality is how many kids are able to stick with it because of scheduling scheduling really hurts our program and I've talked with our upper Administration about that and you know I'm hoping that we're you know on the path to to fixing a lot of that problem but like to give you an idea in the High School this year 42% of the course
- 1:19:45requests for music were not able to wow so the how many do go through and how many want to go through is a different answer aome thank you that's helpful yeah I mean I know I know at the younger grades it's it's impressive how many kids are there and so if we're losing them yeah it gets whittel down uh when I say when I give that number in the high school it is basically once they hit the junior high throughout and we scheduling you know our schedules are tough we're we're small City School District which is trying to offer a lot with without the resources that you know these students deserve so you know I don't I'm
- 1:20:22not putting any blame on anybody but you know it's uh it's tough to to see that happen to see so many kids you know ask the the van teachers why didn't you put me in ban this year not that we didn't put you in band we fought for you to get in there but we just couldn't it couldn't happen um so that is that is something that we're hoping you know we could all work together to remedy that situation yeah we definitely would love to have you come back and learn more about the program and I I just want to mention that I know from experience like how weling you guys are and a lot of
- 1:20:55kids turn to the band room as a place to go when they have to kill time or wait after school and I think that you know just shows that you guys are doing a really great job building relationships and uh welcoming all our students into your program thank you so much yeah I want to applaud your whole team um and I know how much you support other uh things happen other activities in the school with your music program um forth on on up through through seniors and I want to say thank you and when's the concert uh so Junior High concert is on Thursday at 6:30 and the high school concert is the next Wednesday December

- 1:45:57levels the administrators the literacy coaches Etc we're focusing on how teachers teach writing skills across all and then for the next few months the committee will conduct needs assessment by looking at student work samples from each grade level to better understand the current needs of the students and to we'll have our flying celebration on December 13th sorry on December 23d 21st sorry please RSVP by the 13th of December and it's a great way to come and see what Dr pressy presented earlier on you'll see it in action and celebrations we want parents to come and help us to celebrate and any Community member that would like to join us.
- 1:46:54so going forward we're going to have updates from each of our department we'll have indepth presentation but each of our the executive team will just give a verbal update and what they're working on and then when it's their turn to present you'll get a more in depth uh view of what's happening in each department but we want to continue to let the board know and the public know what is happening in every Department the district so the first that's going to present to us let us know department is you want to stand up
- 1:47:43good evening everyone so in the department of teaching and learning we have been very busy as you can all imagine um um so we are getting ready for tomorrow we have a half day for our secondary schools and our teachers will be involved in PD um and the topics for the sessions will be achieve 3,000 they will also be meeting with Rubicon Atlas um coaches and they will also be introduced to the coaching model so because we do have two um coaches internal coaches in our school district and so they will be working with the um teachers throughout the year to give them support um in the classroom
- 1:48:29uh we also have been um really busy with our plc's um they're going really well our professional learning communities and I have one um comment to make regarding a story that was shared with me um about a positive thing that happened with plc's and the fourth grade LC in the literacy committee that um meeting that we had said that they have been so valuable because they realized that the standards that they were teaching were not being um were not aligned to the state assessment that work happened during PLC time and so the teachers were able to adjust the curriculum to in order to meet the needs of students and be able to address those standards.
- 1:49:20um they all follow what is called the datawise through line agenda protocol it is a book um designed by the Harvard um Institute and in there they have what they call through line which is we really dig deeper into what is the issue that students are having with learning what are how do we respond when they're learn when they're not learning and how do we make sure that all of them um all all of the students have the same access to um rigorous work and that we are supporting our students so all of that work happens in the plc's.
- 1:49:59um as I um Dr pennyman shared we will have on December 21st a flying classroom celebration I'm looking forward to that and I'm also inviting the community and also any parent who is interested in finding out about funding opportunities for our district specifically our Essa funds our title grants monies and how do we use utilize that money in our district um that that will be happening on December 21st like I said and um you all invited to come as well just RSVP because we want to see how many people are coming
- 1:50:34um we also have in addition to the literacy committee we have a PD committee and this committee informs our decision-making process as um with respect to professional learning for our teachers so it is a representative sent example of the district we have Department chairs that come in and grade level team leaders and we get together and we talk about our professional learning plan for the district um as you can imagine all of our professional learning plan decisions are aligned to the six keys for school Improvement
- 1:51:10we also recognize that there are um different levels of professional learning that should happen and it should be differentiated just like we different differentiate instruction for students we should also differentiate professional learning for teachers some teachers learn best um by having a workshop model some learn best by being just on a onetoone with somebody so we take all of that into account.
- 1:51:39we're also um as Dr pennyman mentioned we're having the literacy committee look at how is writing being taught across the district this is important to us because the data shows that our students are struggling with writing so what do we want to do in order to create coherence across K12 how do we teach writing how do students organize their thoughts and ideas to make a coherent um writing essay or paragraph wherever level they're at so we're going to be looking at actual current work samples all the way from kindergarten to 12th grade and see the progression right how our students are writing um and see if there are any gaps in in our instruction and that will let us know what we need to focus on
- 1:52:26I'm also working um in the division of teaching and learning we're also working on on um making sure that we report in the um comprehensive L education plan all of the goals of our El's and how do we how are we meeting the needs of our eles so that's a compliance thing where nysed requires us to upload that document every year but it also serves us as a plan for us to ensure that we're meeting the needs of our Els.
- 1:52:58um we are conducting observations principles are busy doing that work and so our district administrators who are li who are licensed and have the training to conduct observations um and we are also conducting walkthroughs um into classrooms to collect data so what do we do when those walkthroughs happen so what we do is we collect data let's say the teacher is teaching a lesson and she's talking about the learning objective of the lesson so we jot that down and so we what we want to see is how many classrooms right from K to 12 what patterns and Trends do we see when we observe teachers teaching in their classrooms are we seeing manipulatives are we not seeing manipulatives those patterns and trends that will inform us about decisions that we need to make regarding professional the learning opportunities for teachers um and then you know we we also work on making sure
- 1:53:59that uh all of the other things are being um are happening as well the there's a simulation um assessment that is going to take place in January you might have heard something from um your principals that will be at the elementary school and at the junior high school and it's sort of like a practice for the New York State assessment computer-based um testing. um that's to make sure that all of the infrastructure the computers are going to be working correctly and all of that stuff needs to um be the right way so that when we do have the real computer-based testing in the spring that we're ready for that it also exposes the students to the format of the test some students are not you know well vered in that yet so it will expose them to that format. um that's about it unless anyone has any questions
- 1:54:49Yes actually I have two questions um for the PLC meetings is it just like curriculum support or do you like do like student support with like discuss like specific students and possible like interventions that are having a hard time that's my first question yeah and then the second one is um regarding plcs again like are they broken up by like what makes up the committee is it just by grade level or is it by uh subject or like
- 1:55:21okay so it depends on the school right so at the elementary school there are by by grade levels and the teachers meet um twice a month and it's facilitated by an assistant principal or the principal and because it's year one we want them to see how it is done with the hopes that in the future these conversations will be led by the grade level team leaders teachers can have conversations about how our students are performing within their class with an assignment maybe there's a unit that they're struggling with um do they speak about particular students and the problems that they're having no that that conversation takes place at an mtss meeting okay okay. um at a PLC meeting teachers identify a problem of practice so it they put the onus on themselves what is it that we could do to ensure that students are progressing at the level that they should be progressing um um how do we respond to student needs how do we respond to them meeting a particular standard are we reteaching that particular topic are we using a different method those decisions and conversations happen during that time

- 1:56:37how did the plcs happen in the junior high then
- 1:56:40so at the junior high school and high school they happen after school um from 2:45 to 3:15 3:30 and they're led by the principles and um at the high school they're doing it by grade level so 9th 10th 11 and 12th they meet by grade level and those recently started they we had some scheduling issues and um as you can tell that there's the scheduling is an issue for us but we are looking into how to modify that schedule so it better suit our suits our needs in terms of having teachers have that common planning time common time that they can sit down and talk about of kids and what problems of practice exist
- 1:57:24got yeah it seems so my son just went from sixth grade to seventh grade and that's when they switch from the grade level chairs to subject level chairs and it seems like they lose some cohesion in terms of their communication and the way that that parents receive information and so maybe it can make up for
- 1:57:45yeah they go from yes from grade level teams they go to department heads and so yes that that actually happens um at the secondary level grade six through all the way to 12 yeah
- 1:58:00uh which grades are doing State Testing computer based versus paper based this year
- 1:58:05so all are they have to do computer-based testing all students in grades three to eight. now the simulation doesn't have to be all grade levels and it doesn't have to be all subject areas that principal can decide okay let's let's just practice with this particular subject area let's do this grade level for ELA let's do do this other grade level for math now students receive all of their accommodations um if they're if they have IEPs they receive extended time if the print needs to be larger the computer will have to adjust that they have that as well

- 1:58:55good evening my update will sound a little bit different um coming from HR um it will be very repetitive as I go because there are a numerous amount of things that were conducted during our needs assessment with Miss Cagan that um once you start peeling back the onion peels is a lot more that has to kind of get done and this processing protocol that be put in place not by me but with stakeholders that kind of on what happens in the building hiring and processes of those but just to kind of give you a gist of what's Happening um I do meet with Miss cullan in person for a mentor meeting um regularly we are in contact by phone by video and in person to kind of go over what are task what are the goal where we're at and she supports me from AAR as well as here with databases and spreadsheets spreadsheets as well.
- 1:59:46um so what I've been doing is developing and releasing postings of vacancies and proposal um that is a is a ongoing basis of I don't know if you know but there's a serious decline in teachers and universities that's coming out with teaching degrees and we are trying to put together um retainment and understanding why people are going so the next event will be like exit interviews and things of that sort so that we can kindy of put in place some things that we can kind of know ahead of time moving forward. um I completed A needs assessment with Miss um reer we completed A needs assessment um with NK um for the local government records management Improvement fund um that is going to start way in January I've done all the staff positions and the project manager positions um interviews and hiring for that so that will get started. um that is really exciting because that is going to help the district with records and archives from like 19 if I'm not mistaken 198 so we have a lot of records that is going to be put in an organized fashion including um business office special education HR records substitutes a board agendas you can name it it's underneath covered underneath the grant that's going to be done outside of school hours
- 2:01:14so these people were interested they got hired they they I mean the interviews were amazing the um the Enthusiast the enthusiasm that they showed about wanting to get this out of the way like we have records and Records upon records and they just want some organizations so I'm excited to see how that um turns out as well um interviewing all applicants the grand position and all new employees I don't do a full interview for new employees even we have Subs we have food service custodians I do once they are hired by the department head I just do a screening I do a on boarding process I who we are what we do we are organizing packets for them to have so they have
- 2:01:56resource packets so as they leave they feel welcome with stickers and who to contact who that was one of the biggest um issues speaking to every union rep that was talking about how when they get on boarding they show up for work and it's like okay now we're looking for badges now we're looking for laptops now and it didn't make them feel like they were ready to expect to begin working on that day so our onboarding process has been really laid out um it was presented to all the administrators in the district for them a turn key to their personnel clerk so they know exactly what to be submitted how all the forms were modified when it comes to what is
- 2:02:35needed so if a teacher is getting hired we need to know do they need um access to wank cap do they need access to the curriculum do they the atlas do they need access to all these things so there's a check box that the administrator must check off or else it gets sent back because that's way of communicating with technology with um Tyler when it comes to Badges and security and things of that so access to the building so that process has been really drawn out it has been completed I will say so they have a full understanding and it's also going to be posted so other people in the district can know how the process goes so they
- 2:03:10can start with the questions about what happened how does this work how does it I want it to be very transparent we understand what is the process what happens in HR after you see that posting the process that goes along with it so that is going to be posted as well um I'm doing a continuation of the district Staffing audit so I have to uh do a audit with every employee that is in this district and it goes from building to Department to full-time part-time status to FTE status to location to certifications the expired certification so we're doing a massive audit I will be glad to announce that every in this district is fully certified teacher
- 2:03:54assistant is fully certified we're only working on coaches at this time and that is something that is a um I had a meeting with Mr Brisco and he's on board and we spoke to our regional coordinator for certification he's supporting us by pushing through and and making um making it easier for them to apply through teach initiatives and I'm also in contact with Ariana Burns to make sure that the workshops that is being offer does not have to come out the coach's pocket it's a part of our package already just to Inc that so they don't have to worry about going to pay for these workshops and it could be provided to them ahead of time before the season
- 2:04:32starts so that is something that we're working on with that certification um FMLA and workman's comp we are creating a standard order uh standard order procedures um so that it is accessible to everyone to understand the flow and the process and what to expect in the timelines and that's very important because when we talk about people's time and Lead that affects that payroll and it affects the days they're using we want to make sure everyone's aligned on what days that they have in their bank or so forth so that we won't get that confusion so that is being worked on as well um evaluations is currently under process so I will I have a a um certain amount of teachers that
- 2:05:15I'm going to go visit to kind of do that evaluations before I at evaluations so I finished that uh as well that's completed um the present presentation H process already right oh I attended an EA an educated EAP Forum um trying to get that to be live in this District to make sure that the employees have a place where they can really use the supports and resources for their own benefits whether it's grief counseling whether it's lawyers whether it's um just regular counseling for them and their family family counseling um we are affiliated with the EAP Forum but we don't have have the resources and materials that's accessible without people having to ask and when people ask
- 2:05:56they feel like you need to know their business and that's a part of what we don't want so I want to make it accessible for them to have access to do that um I completed the Title Nine training today uh for our training and I attended the capital region School front Forum a week ago and then we're also making updates to the ad website like I said to make it accessible to all and I am still under way with our HR huddles and HR hles go to the school buildings once a month during a lunch period for an hour and a half to just be there in case someone during lunch have a question they want to kind of see who I
- 2:06:30am and they just come in and pop in so I have a little spot in each building where up here for junior high and Senior I do it together and I go in a conference room in the high school conference room and they just come in and ask whatever question you want to ask if I have resources for them just so they can kind of get the face that there is a HR department you don't have to uh you know ring the phone to can I appointment that they can you know it's not an emergency and they want general you know information that is accessible to them great awesome it's all very exciting stuff thank you so M was
- 2:07:25[Music] don't before I move on I do want to celebrate um Keith Robinson again for breaking the school record um for most um con for most conference points or for most career career points from most career points we're really proud of him and we have to
- 2:08:22celebrate our students Talent so that's really important so um we did hear about it earlier but I wanted to reiterate it again next I have an update from the transportation and business office and in the spirit of just being transparent um I wanted to make sure that I update the board on what's Happening um with the budget so um there have been some recent questions about the status of our school district finances particularly regarding the business office and transportation.
- 2:09:05so therefore I'd just like to provide an update as you know the district is undergoing a transition in our financial management due to recent departure of our Chief Financial Officer I appreciate that de Board of Education worked with me to quickly appoint an interim business business official Sue hutter and an interim transportation coordinator Mr Bill Mirad I am working very closely with these officials to protect and most efficiently use our local state and federal tax dollars.
- 2:09:44Miss Hooter is working on closing the books for the 2023 2024 school year as well as completing reports required by New York State she also is handling day-to-day financial responsibilities and we are reviewing options to provide additional assistance from Miss from Miss hutter to handle these substantial tasks. we are also working quickly as possible to provide the Board of Education with a thorough clear update on last school Year's budget as well as this school Year's Finance.
- 2:10:28closing the books on last year's school year is a vital step in securing accurate budget information having those final numbers provides important information regarding where this year's finances stand the tasks now being handled include completing Treasures report from last spring to the present and working with our Auditors on closing entries our Auditors are performing through due diligence by reviewing every account.

- 2:12:33we re Dr prey received a a positive letter from a parent so I just want to end on a positive note that dear members of the Board of Education I'm writing to express my wholehearted support for the Hudson City School District District after school ASD program as a parent of three children who have been part of the program since kindergarten I have witnessed firsthand the incredible impact it has had on my family.
- 2:13:05my oldest son DJ is 9 years old and in the fourth grade while my twins David and James are seven years old and in the second grade for years the after school program has been a vital part of their daily lives it has provided them not only with a safe and supportive environment but also with enriching activities that keep them excited about learning as a working parent with long hours knowing my children are in good hands after school brings me immeasurable relief and peace of mind.
- 2:13:45the staff at the ASB program have become like family to us my boys feel comfortable cared for and deeply connected to teachers some of whom have even become trusted Caregivers for our family outside of the program. the program offers so much more than just a place for children to spend time after school from engaging projects to homework he my boys have consistently grown in their academic and social skills they come home each day eager to sh stories about the activities they have done and the lessons they have learned.
- 2:14:27for me as a parent the homework support they receive at ASP has been invaluable it allows me to spend meaningful quality time with my children in the evenings knowing that their academic needs have been met the benefits of high quality after school programs like ASP extend far beyond the individual families.
- 2:14:52research consistently shows that children who participate in structured enrich and after school programs perform better academically they develop stronger social emotional skills and are more likely to succeed in their future careers these programs are especially critical when introduced at a young age as they layer foundation for lifelong learning and success.
- 2:15:16studies also indic that children with access to after school care are more likely to graduate high school pursue higher education and Thrive as adults compared to their peers who do not have such opportunities in a time when families face many challenges programs like ASP provide a much needed resource for working parents and a critical support system for children they help ensure that all children regardless of their circumstances have access to Safe enriching and constructive After School Care.
